This Privacy Policy explains how InfoIndia91 ("we", "us") collects, uses and protects information in InfoIndia91 - PoolCo CRM (the "Service"), a quotation and CRM software for businesses, available at https://swimcrm.infoindia91.com.

1. Who this applies to

The Service is used by businesses ("Customer companies") and their staff. Customer companies enter details of their own customers and leads into the Service. For that customer data, the Customer company decides what is collected and why, and we process it only on their behalf to provide the Service.

2. Information we collect

• Account information: name, email address, phone number and role of each user, and the company's name, logo, address and business details.
• Business records entered by Customer companies: clients, leads, quotations, products, follow-ups, payments and notes.
• Security and usage information: login time, IP address, browser/device details and failed login attempts, used to keep accounts secure.
• WhatsApp information (only for Customer companies that connect WhatsApp): WhatsApp Business Account ID, phone number ID, the access token issued by Meta, message templates, messages sent and received through the Service (text, file names, delivery and read status), and the WhatsApp name and number of people who message the company.
• Field location information (only for Customer companies that switch on Field Tracking, and only for employees their admin marks as field employees): GPS location, check-in / check-out times, check-in selfie, site visit notes and photos, recorded only between the employee's Check-in and Check-out and only while the app is open on their phone.
• Website reviews and enquiries: when you submit a review, we publish your name, company, city, rating and review only after we approve it. Your email or mobile number is kept private and used only to confirm the review is genuine. Demo and contact forms collect the details you type, to reply to you.
• Payment information for subscriptions: proofs of payment that a company uploads. We do not collect or store card numbers.

3. How we use information

• To provide the Service: create and send quotations, manage clients, leads, follow-ups and payments.
• To send and receive WhatsApp messages for a Customer company through the Meta WhatsApp Business Platform, and to show delivery status and replies in the company's inbox.
• To send service emails such as password reset codes and account notices.
• To keep the Service secure, prevent misuse and provide support.

We do not sell personal information, and we do not use Customer companies' data or WhatsApp messages for advertising.

4. WhatsApp and Meta

When a Customer company connects its WhatsApp Business Account, messages are sent and received through Meta Platforms' WhatsApp Business Platform. Meta processes this data under its own terms and policies (WhatsApp Business Policy, Meta Privacy Policy). We use data received from Meta only to provide WhatsApp features to that Customer company. Each Customer company is responsible for having its customers' permission (opt-in) before messaging them on WhatsApp.

5. Sharing

We share information only with: our hosting provider (to store and run the Service), our email provider (to deliver service emails), Meta (for WhatsApp messages of companies that connect WhatsApp), and authorities when required by law. Information of one Customer company is never shown to another Customer company.

6. Storage and security

Data is stored on secure servers of our hosting provider and is accessed over HTTPS. Passwords are stored as one-way hashes. WhatsApp access tokens and app secrets are stored encrypted. Inside a company, staff see only what their role allows.

7. How long we keep data

• Business records and WhatsApp message history are kept while the Customer company's account is active.
• Team chat messages are deleted after 90 days, and login history after 1 year.
• Field location points are deleted after 90 days by default (the Customer company can choose 30 to 365 days). Attendance and visit records are kept as business records.
• Quotation PDFs sent on WhatsApp are passed to Meta and are not stored on our server.
• When a Customer company's account is deleted, its data is removed from the Service.

8. Cookies

We use only the cookies needed to keep you logged in and secure. We do not use advertising or tracking cookies.

9. Your rights

You can ask to access, correct or delete your personal information. If your information was entered by a Customer company (for example, you are their customer), please contact that company first; we will help them act on your request.

10. Data deletion

To request deletion of your data, or of a company's data including its WhatsApp connection:

1. Email us from your registered email address with the subject "Data deletion request", and mention the company name and the phone number or email to be deleted.
2. We confirm the request and delete the data within 30 days, except records we must keep by law (for example, invoices).

A company admin can also stop WhatsApp at any time by removing the WhatsApp connection in the Service, or by removing our app's access in Meta Business Settings.

11. Children

The Service is meant for businesses and is not directed at children under 18.

12. Changes to this policy

We may update this policy. The "Last updated" date at the top shows the latest version.
